Use Workflow
AEM Workflow provides a way to collaborate, manage, and process content in AEM.

In this video, we’re going to learn how to use - the workflow features available in AEM Sites and AEM Assets. Let’s inspect how to launch workflows from the site’s console. We’ll select a page and - then in the menu bar, click create and workflow. This brings up the create workflow wizard, where we can select a workflow model and enter a workflow title. Let’s select the publish example model and give the workflow - an appropriate title. Next, we’ll choose a - scope of the workflow. We can add additional pages or choose to include the - children of the current page. For now, let’s run the - workflow on this single page. Clicking create, creates - the new workflow instance. It’s also possible to start a - workflow while viewing a page. If we open a different page - in the AEM Sites editor, we can start a workflow from - the page properties menu.
This brings up a dialog with options to select a workflow model and enter workflow title. Because this workflow is launched from within the site’s editor, the scope is automatically - assigned to the current page. When a page is currently under workflow an additional status bars is included to give more information - about the workflow.
Let’s navigate to our weekend site and change to the list view. We do not see any workflow - details for the site’s pages. This can be changed under view settings by selecting the workflow option. The metadata field for - workflows is now being displayed in the list view and displays the workflows - associated with each site page. For a page that has a single - workflow associated with it, the name of the workflow is displayed. If a page has more than one - workflow associated with it, then it is listed as multiple workflows. And the number of workflows - is displayed in brackets. Hovering over the - multiple workflows listing a tool tip appears - listing all the workflows associated with this page. Clicking on the workflow - status for a page, opens the timeline side rail for that page with the workflow filter selected.
Similar functionality is - available for AEM assets. Selecting an asset, we can - click create and workflow. A dialog will pop up, allowing - us to select a workflow model and enter a title. When creating the workflow - AEM gives a warning, letting us know that we’re - about to kick off a workflow for a single asset.
Assets currently under workflow will have a small status - next to them in card view. Switching to list view, we - again see the workflow column. It’s also possible to kick off workflows for all assets within a folder. Selecting the Alaska adventures folder, we can again create a workflow.
This time, AEM gives us a warning that the workflow will be - kicked off for seven assets. One of the most common - workflows in AEM assets is to reprocess the asset using the DAM update asset workflow. This will rerun all of the - existing microprocessing profiles assigned to the asset and - will process the asset with any new profiles recently created. Since this workflow is so common, there’s a button named reprocess asset to launch this event faster. This can be triggered - both at the folder level and the individual asset level. - -

Video uses AEM Sites to demonstrate the workflow status metadata capability. Workflow status metadata is also applicable to AEM Assets. To see workflow status on assets, ensure that the list view is enabled.
